3. JOB PURPOSE
Provides guidance and assistance to employees, supervisors, and managers in a variety of human resource functions to ensure compliance with the external and internal policies and standards. Manage employee data in systems and files and use it appropriately. Manage HR related processes as per the set procedures and standards.
4. MAIN RESPONSIBILITIES OF THE JOB
A) Managerial Responsibilities:

B) Functional Responsibilities:
● Manage process of recruiting, screening, interviewing, on boarding, and placing workers as per the set standards
● Update and keep custody of employee data in various systems and documentations.
● Manage issuance and amendment of employee contracts and letters
● Process employment termination process according to the law (documentation, final due payment, issuance of certificate of service, collection of company assets and date
from the staff, conducting exit interview, process clearance form, etc)
● Facilitate staff transfer process (collection of necessary documentations, payment of
advance, follow up on settlement)
● Register employees to statutory requirement and make payments monthly in various systems (WCF, NHIF, NSSF, HESLB)
● Ensure compliance to workplace health and safety regulations (OSHA) by conducting risk assessment, submitting safety policies and action plans, sending employees for
required training, holding OSH meetings, etc)
● Manage staff attendance to work and adherence to set working hours including work from home and field works. including weekly attendance recording machine data
analysis and report.
● Check staff overtime applications and process in payroll system, also track overtime hours per person to keep within allowed hours as per the law.
● Ensure correct application of different types of employee leaves, by checking, processing, and tracking leave application forms.
● Provide clerical and administrative support to the HR team leader.
● Prepare reports relating to personnel activities (payroll, recruitment, training, grievances, performance evaluations, etc.)
● Coordinate and keep records of HR lead companywide activities (meetings, surveys, company culture related activities, etc.)
● Deal with employee requests and provide necessary support regarding human resources issues, rules, and regulations
● Payroll administration and providing relevant data (absences, bonus, leaves, etc)
● Communicate with government authorities and lawyers on employment matters
● Properly handle disciplinary procedures according to the law
● Conduct initial orientation to newly hired employees

A) A minimum level of academic and professional qualification required to perform effectively in the role:
